Verification Policy

What each verification level means and, just as importantly, what it does not mean.

Version 0.1 · last updated 2026-08-06

Draft. These documents describe how the platform actually works, but they have not yet been reviewed by a lawyer and some details - the legal entity, address, jurisdiction and contact address - are still placeholders. They will be finalised before GrantTeam accepts payments.

1. Why verification exists

Finding a partner online means trusting a stranger with your project. Verification exists to give you evidence about who you are dealing with, and to make it harder for fake or dormant profiles to waste your time.

2. The levels

  • Email verified — the person who created the profile confirmed control of their email address. This says nothing about the organisation itself.
  • Organisation verified — we checked that the organisation exists and that the person acting for it appears authorised, using registration details and identifiers such as a registration number, VAT number, PIC or OID, and where possible a domain email or official website.
  • Track record verified — we checked evidence for at least one reference project, such as a public project record, a contract or a confirmation from the coordinator.

A profile can also be shown as curated, which means we have direct experience of the organisation or a reliable reference for it.

3. What verification does not mean

  • It is not an endorsement or recommendation.
  • It is not a guarantee of future behaviour, delivery capacity, solvency or quality of work.
  • It does not transfer any responsibility for your partner selection to us.
  • It is a point-in-time check. Circumstances change, and so can a verified organisation.

Run your own due diligence before signing a consortium agreement.

4. Documents you send us

Verification documents are stored privately and are never published or shown to other organisations. Only administrators with a verification role can open them, and only through short-lived signed links. Administrative access is recorded.

We keep a document only as long as we need it to support the decision, then delete it. We may ask for a redacted version if a document contains more personal data than the check requires.

5. Decisions, loss of status and appeals

  • We review submissions manually and tell you the outcome. We may ask for additional evidence.
  • We may reject a submission where the evidence is insufficient, inconsistent or unverifiable.
  • Verification can be withdrawn if we learn the information was inaccurate, or if the organisation is reported and the report is substantiated.
  • Availability is time-limited: an organisation that stops confirming what it is looking for is no longer shown as an active partner, even if it stays verified.

If you disagree with a decision, reply to it or write to [CONTACT EMAIL] with the reasoning and any further evidence, and a different reviewer will look at it where possible.
